The One-Stop-Shop for All Smith EMS Policies & Procedures

  • The further out you book, the better. We can pull schedules directly from your school or league calendar online. If no online calendar exists, email your schedule to chase@smithems.com.

    • Games booked less than 30 days in advance are billed at an additional $5/hr.

    • Email any schedule changes; all changes are subject to availability.

    • As shifts are confirmed, they are posted in your shift dashboard for easy viewing.

  • At the beginning of each season we provide a prorated invoice, this will list each date we’re scheduled to work alongside a 3hr prorated total. From there, we invoice on a weekly, bi-weekly, or monthly basis for all shifts in the previous time period., only charging the additional amount(s) due Payment is due net 15 unless otherwise changed.

    • All shifts booked with and paired with a medic are reflected on the invoice at 50% of the scheduled hours (with a 3-hour minimum).

    • Shift edits/reschedules are free if we receive at least 24 hours’ notice.

    • Less than 24 hours’ notice: billed at 50% of original hours (with a 3-hour min) plus full rate for the new date.

    • Ice or Ice Packs

    • AED onsite

    • Final schedule (or ensure your online calendar is up-to-date)

    • Point-of-contact for each game day

    • Venue parking access & setup instructions and any security requirements

    • Special rules or protocols (e.g., league injury policy, return-to-play guidelines)

    • Uniformed, state-certified medics with specialized sporting event medicine training.

    • Fully stocked medical kits with bleeding, splinting, vitals, and lifesaving supplies.

    • Branded Smith EMS table setup for home games (kept onsite for the season).

  • We follow HIPAA guidelines, sharing injury details only with necessary staff and parents/guardians. Injury/illness related information is kept confidential to the patient and direct family.
